How do I use my cell phone as my work phone?

Connecting your cell phone allows you to receive and place calls as if it was from your desk phone.

Adding the phone

  1. From the top toolbar, select Settings
  2. Under the Account category, select Devices
  3. Click the blue + Add button in the top right
  4. Select ‘External Device’
  5. Give the device a name such as John Cell
  6. Toggle ‘Enabled’ ON
  7. Assign it to the user
  8. Put the cell phone number of the device into the External Phone Number slot. Make sure to add a ‘1’ before your number. E.g. 18016180000
  9. Press Save

Configuring necessary settings

  1. Once a device has been created, select it from the “Location Devices” page
  2. In the left pane, navigate to Voice
  3. In the “Ring Options” pane, click the Edit button in the top right
  4. Toggle ON “FM/FM Open Hours”. This enables your device.
  5. Optional: Slide the Ring Time. By default, your cell will ring at the same time as your desk phone. To avoid both of your phones going off at the same time, slide the slider back for how long to wait to start ringing your cell phone. Most people find 5-10 seconds to be a good starting point.
  6. Toggle ON “Confirm On Answer”
  7. Enter “Confirm Digit” as 1. This is what lets you keep your work and personal calls separate. Upon placing or receiving a call, you will press 1 on your phone’s dialpad to connect the call.
  8. Press Save
  9. Finally, to configure outbound calls from your cellphone, select your initials in the upper right corner of the application, and on the new drop-out screen, scroll to the bottom and locate ‘Default Devices’. Select the device drop down menu and select your newly added cell phone. Ensure that ‘Override on device’ is toggled on for these settings to apply.

New Feature: Call pass through. Call pass through if toggled on under your cell phone, will bypass the need to press 1, by automatically connecting with one of our pass-through numbers. Upon dialing a number, simply select the new call option that appears on your cell phone screen. Please note, the number will be ‘801-618-0050’ and will show up in your phone’s recent history as such.

Updating your cell phone numbers

  1. Navigate to the desired device: Settings -> Devices -> ‘Name of device’ -> Voice
  2. In the ‘Device Line Info’ pane, click the pen and paper in the top right to edit
  3. Change the number under ‘External Phone Number’
  4. Press Save

Installing the web app

Once the device has been added and configured correctly, these steps will walk you through downloading and using Avidbit for your work communication.

iPhone:

  1. In Safari, type in my.avidbit.com
  2. Depending on your organization, select Office 365 or GSuite on the Avidbit login page
  3. Enter your credentials (same email and password for your work)
  4. You should be prompted to allow notifications. Press accept
  5. Add it to your home screen by pressing the share button in Safari, and selecting ‘Add to Home Screen’
  6. Enter into the app on your home screen and once again sign in with your credentials
  7. Once you are signed in, click on your initials in the upper right corner
  8. Scroll down and Toggle On “Override on Device”
  9. From the “Default Communication Device”, select your phone. If you do not see it, make sure you followed these steps for Adding the phone listed above. (Most people should choose the desk phone as the default communication device)
  10. You have successfully paired your phone

Answering a call

After your phone has been connected to your user, it’s time to learn how to use your phone.

  1. Upon receiving a call you will hear an automated voice describing the caller ID details of the person who is calling as well as prompting you to press 1 to answer. Anytime you hear the automated voice, this means this is a work call.
  2. Press ‘1’ on your dial pad
  3. Have your conversation like normal

Placing a call

  1. Go into the Avidbit app previously installed.
  2. Start typing a number or name into the ‘Dial a number’ field at the top. Press the blue phone symbol to initiate the call OR from the Communicator (Click 3 bars by your initials, go into Apps, go to Communicator) click the blue phone symbol quick action and dial a number.
  3. Upon pressing send/dial, our servers initiate a call with your phone first. When you answer, you will hear an automated message describing the caller ID details. Press ‘1’ at any time during the message to be connected through.

If you have iOS 16.4 installed, enabling ‘Web Push’ in the sidebar that opens when you select your initials will push notifications to your phone. This way, you do not need to have the app open on your phone to receive the proper notifications.
