How to create a file schedule

File schedules have multiple uses, but it essentially is used to play different files when certain conditions (such as a date range) are met.

First, we need to create a schedule.

1. From the top toolbar, select Settings
2. Under the Account category, select Schedules
3. Click Create Schedule
4. Set the name, time zone, and owner (optional)
5. Press Save

Now that we have created the schedule, we need to add rules onto it so that different files can be played when these rules are met.

9. Select the schedule you just created
10. In the “Date / Time Rules” pane at the bottom, press + Add
11. Select one of the rule options. For creating a file schedule, you’ll most likely use “Date Range”
12. Fill out all necessary info with a descriptive name, and the dates/times you would want this rule to be active
13. Press Save

Next, we need to create a file schedule where we will specify the file, or text, that will be played when its conditions are met.

14. From the top toolbar, select Settings
15. Under the Account category, select Files
16. Click the green Add File Schedule
17. Give the file schedule a descriptive name
18. From the ‘File Schedule’ drop down list, select the previously created schedule. Upon doing so, the ‘Schedule Override’ section will populate with the rules that were set in that schedule
19. The Default File / Default Text To Speech refers to what message (whether pre-recorded or Text-To-Speech) will play if no other rules are active
20. The Override File / Override Text is the message that will be played if the ‘Rule String’ (the Date/Times you set in the schedule) is true
21. If you have entered in any text, press the play button next to the input field to cache the audio file
22. Press Save

Now that the file schedule has been created, it can be used for custom hold music and custom voicemails.

Custom Hold Music -Location

1. From the top toolbar select Settings
2. Under the Voice category, select Hold Music
3. Click the blue + Add button in the upper right corner
4. Give the playlist a name
5. Optional: Toggle ON any other options you wish (Play Playlist as Stream means people put on hold will hear real time music. The music/message won’t start from the beginning with this option)
6. Press Save at the bottom of the pane
7. Select the playlist you wish to add music to
8. Click the blue + Add button in the ‘Hold Music Playlist’ pane
9. From the drop down list, select the file or file schedule you wish to use
10. Press Save
11. From the top toolbar select Settings
12. Under the Account category, select Locations
13. Select your location
14. Navigate to the left pane and select Voice
15. Click on the Edit button in the top right of the ‘Voice Preferences’ pane
16. Form the drop down box under Hold Preferences, select your new hold music
17. Press Save at the bottom of the pane
